Privacy policy for the Headlight recruitment process

In the context of your use of the services of Headlight with registered office at Desguinlei 6, 2018 Antwerpen, Belgium registered with the Crossroads Bank for Enterprises with number 0675.454.550, Headlight will collect certain personal data and transfer them to clients (hereafter: “Client” or “Clients”) with whom you might enter into an employment relationship.

These data will be processed by Headlight and by the Client(s) in view of recruitment and selection, job matching, complying with legal obligations concerning the employment of workforce and social security law, and the agreement you enter into with a Client. Following its agreement with you, Headlight will process your personal data as defined below. You expressly consent that Headlight is entitled to forward your personal data to Client who, in such event, will process the following personal data in its capacity of processor:

 

Recruitment process

When you take part in the recruitment process, you acknowledge and accept that the personal data you have supplied can be transferred to a Client in the context of the preparation and the execution of the agreement you conclude with said Client.

We will identify the third party to which these medical data will be disclosed and notify you thereof in advance. You have the right to object to such disclosure.

You have the right to correct, erase, restrict the processing of your data or request an overview of your personal data processed by the parties in this context. Headlight will contact you on a yearly basis to confirm whether the processing of your personal data should continue.

If you request an overview of your personal data collected by us, we will provide you with a PDF document within a reasonable period of time.

In certain cases, we may refuse your request in whole or in part due to, inter alia, but not exclusively, applicable legal retention periods. The party in question will always justify this refusal with an explanation of the reason.


Transfer of your personal data to third parties
:

Depending on the purpose and context of processing your personal data, employees of Headlight have access to your personal data. Headlight relies on third parties for the performance of the agreement with you. Examples of such third parties include, among others, mail and postal services, employers in the context of the recruitment process as well as software suppliers in the context of the candidate management system. Headlight guarantees that such third parties maintain a similar level of security and confidentiality with respect to your personal data.


Transfer to a non-EEA country or Switzerland
:

If your data are to be shared outside of the EEA or Switzerland (e.g. in the context of secondment), we will inform you in advance and ensure adequate protection of your data and compliance with privacy rights within this receiving country or organisation.


Retention period:

Your data will be kept at least for the period required by law. Unless you request us to delete your personal data or we are required to do so by law, your personal data will be automatically deleted 5 years after the deletion of your account.


Changes:

We may from time to time and for any reason amend, supplement or improve this Privacy Policy as it relates to future use of our services. Where appropriate, we will notify you of such changes by e-mail.
